Reports to: Project Manager
Type: Full-time
Location: On-site at job sites and office
Position Summary
We build custom homes, and the last 5% of a project is what clients remember. The Assistant Project Manager / Punchlist Coordinator owns that finish: running punchlists to completion, performing quality control checks, keeping schedules on track, and serving as a direct, reliable point of contact for our clients. This role suits someone who notices the paint drip everyone else walked past and won't sign off until it's right.
Key Responsibilities
Punchlist and Closeout
- Walk homes with the PM, superintendent, and clients to build complete, photo-documented punchlists
- Assign punch items to the right trades, set deadlines, and follow up until every item is closed
- Verify completed work in person before marking items done
- Coordinate final cleaning, touch-ups, and pre-closing walkthroughs
- Assemble closeout packages: warranties, manuals, paint and finish schedules, and as-built notes
- Track and manage warranty requests after move-in
Quality Control
- Perform QC inspections at key milestones (pre-drywall, trim, paint, final) using company checklists
- Check finishes, fixtures, trim, tile, cabinetry, and hardware against plans, selections, and specs
- Document deficiencies with photos and notes, and escalate recurring issues to the PM
- Help develop and improve QC checklists and standards over time
Scheduling and Coordination
- Help build and maintain project schedules; update them as conditions change
- Schedule subcontractors, vendors, deliveries, and inspections
- Confirm trades are on site when expected and flag delays early
- Track material orders, lead times, and selections to prevent hold-ups
Client Communication
- Serve as a day-to-day contact for clients during finish-out and closeout
- Provide regular, clear progress updates and respond to questions promptly
- Conduct client walkthroughs and document requests and concerns
- Handle client concerns calmly and professionally, escalating to the PM when needed
- Log change requests and route them for pricing and approval
Project Support
- Keep job files, photos, logs, and documentation organized and current
- Attend site and client meetings; take and distribute notes and action items
- Support the PM with RFIs, submittals, purchase orders, and budget tracking
- Monitor job sites for cleanliness and safety compliance
- Take on other duties as assigned to keep projects moving

- Valid driver's license, reliable transportation, and a clean driving record
Preferred
- Experience in custom or high-end residential construction
- Familiarity with tools such as Buildertrend, Buildern, or Procore

Working Conditions
